About the Opportunity

Our client is seeking a highly organized and service-oriented Case Management Coordinator / Client Services Coordinator to support case management operations and deliver exceptional client service. This role is ideal for an administrative professional with experience in legal services, client support, or professional services environments who thrives in a fast-paced setting and enjoys coordinating multiple priorities.

The successful candidate will provide administrative and operational support throughout the lifecycle of cases, assist with hearing coordination, and help ensure a seamless experience for clients, panelists, and internal stakeholders.


Key Responsibilities

  • Support Case Managers, clients, and panelists throughout the full lifecycle of assigned cases.
  • Collaborate with Case Managers and management to address case-related issues and administrative needs.
  • Serve as a backup resource for Case Managers as needed and provide support during absences.
  • Deliver concierge-level client service, including client and panelist check-in, room assignments, front desk support, and hearing logistics.
  • Assist with scheduling, answering and routing calls, and providing administrative support to Case Managers and panelists.
  • Coordinate hybrid hearings and virtual meeting logistics, including conference room setup and online session management.
  • Provide technical assistance to clients and panelists and work closely with IT support to resolve technology-related issues.
  • Complete general administrative duties, including mail distribution, document retention, records management, and supply coordination.
  • Participate in special projects and committee initiatives as assigned.
  • Ensure meeting and hearing spaces are properly prepared and equipped to meet client needs.
  • Coordinate with building management, security, and maintenance personnel regarding facility-related matters.
  • Assist with office operations, including food and beverage service, catering setup and breakdown, and maintaining hospitality areas.
  • Perform other duties as assigned.

Qualifications

Required:

  • Bachelor's degree in a related field preferred.
  • 2-4 years of experience in a legal administrative, legal assistant, or similar professional support role.
  • Strong client service experience in a legal, professional services, or corporate environment.
  • Proficient with Microsoft Office and other business software applications.
  • Excellent verbal and written communication skills.
  • Strong organizational, multitasking, and problem-solving abilities.
  • Ability to work independently while maintaining a high level of professionalism and attention to detail.

Preferred:

  • Experience supporting legal case management processes.
  • Familiarity with alternative dispute resolution (ADR) processes and procedures.
  • Experience coordinating meetings, hearings, or client-facing events in a professional environment.
  • Knowledge of virtual meeting platforms and hybrid event coordination.
